Rosterwave replaces the Deputy + Xero + spreadsheet stack most small-business owners cobble together on a Sunday night. Multi-store scheduling, kiosk clock-in, Fair Work-compliant payroll, per-store P&L — plus an AI Assistant that moves shifts, approves leave and copies weeks in one sentence, so you're not clicking through five screens to reschedule one shift. One tool, one flat price.
Three steps. No sales call. No implementation consultant.
Add your stores and staff one by one, or hand the AI Assistant your staff spreadsheet and confirm the import. Head Office + Reserve are auto-created. Pick your Fair Work Award (Retail, Hospo, Clerks, Pharmacy, Trades — 14 preloaded).
Drag-and-drop the week. Staff clock in from a shared iPad or any browser using their PIN. Actual hours reconcile against scheduled — you see the gap without opening a spreadsheet.
Approve the pay run — Award loadings, penalty bands, junior rates, and 17.5% AL loading are already applied. Labour cost, revenue, and margin land on your Business Analysis dashboard.
Every other WMS makes you click through five screens to move a shift. Rosterwave has an AI Assistant that reads your roster, timesheets, leave and payroll · and can actually make the changes · because you asked in one sentence.
Nine modules built to work together, so the same shift you rostered on Monday becomes the payslip you finalise on Friday and the labour line in your P&L.
Ask your data anything in plain English. Move shifts, approve leave, copy rosters, import your staff list from a spreadsheet — one sentence, one Confirm. Manager-only.
Drag-and-drop rostering across every location. Cover shifts, mark leave, spot conflicts before they cost you.
Staff clock in from a shared iPad with PIN + optional photo. Actual vs scheduled hours reconciled automatically.
14 Fair Work Modern Awards preloaded — Retail, Hospo, Clerks and more. Weekend loading, PH, OT, junior rates, casual loading, 17.5% AL loading.
Annual, sick, unpaid — request, approve, and balance in one place. Loading applied automatically on payslips.
Immutable payslip snapshots for the ATO. Print, email, or export to Xero-compatible CSV. Year-end STP Payment Summary in one click.
Plain-English bookkeeping: income and expenses by category, receipts attached, BAS summary, and the numbers that feed your P&L. Ask the AI to file a receipt.
Staff photograph a receipt, the claim lands with their manager, approved amounts flow onto the next payslip. No more envelopes of receipts.
Admin, HR, Operations, Location Manager, Staff — every screen scoped to what that person needs to see. Multi-store from day one.
Small business owners waste hours every week piecing together revenue, wages, rent and margin from separate spreadsheets. Rosterwave does it for you — in one dashboard, updated the moment you finalise a payslip or log a bill.
Owner-operators tell us they picked us for three reasons: price, setup speed, and having P&L in the same tool. Here's the honest comparison.

Past 100 employees or 10 locations, the numbers are set to fit your business · ask about a custom plan
Yes. Cancel from Settings → Subscription. Your data stays intact and you can re-activate any time. You keep access until the end of the billing period.
No. Every new workspace starts on a 30-day Pro trial with no card. When it ends you can subscribe, or keep using Starter for free.
Then Business is not the right shape and we will build you a custom plan: the employee and location numbers set to what you operate, an AI allowance sized to your management team, and help moving your roster and staff records across. Email sales@rosterwave.com with your staff and site count and we will come back with a price. Nothing about the product changes; only the limits and the onboarding.
The assistant tells you, and nothing else in Rosterwave is affected. The allowance refills when your billing period renews. If you need more before then, the Owner can add a top-up pack of 200 questions for $9 including GST from Settings → Subscription. Top-up questions do not expire and are only used after the ones included with your plan.
In Australia. Each business gets its own single-tenant data store — your records never mix with another company's. Passwords are hashed with a per-user salt server-side (browser never sees the hash), all traffic is HTTPS-only, session cookies are httpOnly with SameSite protection, and encrypted backups run on a scheduled cycle.
Rosterwave is the more complete tool for Australian owner-operators. Five things Deputy and Tanda don't do in one product: (1) flat $29/mo pricing — no per-user surcharge as your team grows; (2) native Fair Work payroll — full pay run happens inside Rosterwave, no Xero handoff, no external subscription; (3) Business Analysis in-line — labour cost, revenue and per-store P&L on the same dashboard, not a separate BI product; (4) AI Assistant — move shifts, approve leave and copy weeks with one sentence and a Confirm click, so managers stop clicking through five screens per change; (5) 14 Modern Awards pre-loaded and kept current — junior schedule, penalty bands, PH loading, overtime brackets refresh every Annual Wage Review. All in one place, one price, every feature every plan.
14 Fair Work Modern Awards: General Retail, Fast Food, Hospitality, Hair & Beauty, Pharmacy, Clerks, Nurses, Restaurant, Trades, and more. Each with editable rates in case Fair Work updates minima. If your industry Award isn't in that list, tell us — we add on request when we see two customers ask.
Not in one workspace yet — currently each Rosterwave workspace maps to a single ABN. If you have two entities you'd run them as two separate workspaces. Multi-entity consolidation is on the 2027 roadmap.
Your data stays in read-only mode for 90 days so you can export it. After that we archive your records (contactable for restore) for 12 months, then permanently delete. You can also download a full data export any time from Settings → Data.
Yes. Upgrades take effect immediately and the pro-rata difference for the rest of the billing period is charged to your card straight away. Downgrades also apply immediately; the unused portion of the higher plan is credited to your next invoice.

Drag-and-drop shifts across every store, spot conflicts before they happen, and publish in a click. Built for AU small businesses who don't have time for Excel gymnastics.
Manage one store or twenty from the same view. Colour-coded location badges make it obvious who's where, and shifts snap to the right person even if they cover across sites.
Every employee marks the days they can't work. Try to schedule a blocked day and Rosterwave flags it in red — no more Monday morning surprises.
Staff log in on their phone to see their upcoming shifts. No more group chats, no missed messages. Every change is versioned so you always know what was published when.
Import your staff list, drag some shifts, hit publish. That's it.
One shared iPad at the door. Staff punch in with a 4-digit PIN and (optionally) a selfie for identity confirmation. Actuals reconciled against scheduled — every discrepancy visible.
Manager binds one device to one store. Staff appear in a grid — big buttons, quick PINs, optional photo. Runs entirely in the browser, no app store, no per-device licensing.
Every clock event lands in a review queue. Scheduled vs actual side-by-side. Approve in bulk, adjust with one click, flag anomalies before they hit payroll.

14 Modern Awards preloaded. Junior rates, casual loading, weekend + PH multipliers, overtime brackets, annual leave loading — all applied automatically. Every payslip is a frozen legal snapshot.
General Retail, Fast Food, Hospitality, Hair & Beauty, Pharmacy, Clerks, Nurses, Restaurant, and more. Each award ships with correct weekend rates, PH loading, OT brackets and junior schedules.
Enter the date of birth once. The award's own junior schedule applies automatically and steps up on each birthday, reaching the adult rate when that award says so (21 in Retail, 20 in Hospitality, 18 in Hair & Beauty). No manual intervention.
Export payroll to Xero-compatible CSV. Year-end STP Payment Summary generated in one click — take it straight to your accountant or upload to ATO Online Services.
Fair Work-compliant payroll, standard in every plan above Starter.
Staff request. Managers approve. Balances update. Loading applied on the next payslip. Nothing lost in email threads.
Annual, sick paid, sick unpaid, personal unpaid. Each with its own balance, approval flow, and payroll treatment.
Balances stay accurate, payslips stay compliant.
Labour cost as % of revenue. Per-store P&L. Prior-period comparison. The dashboard AU small business owners have been building manually for years, finally automated.
Enter your weekly/monthly revenue once. Rosterwave pairs it with the labour cost your finalised payslips already gave us and shows the ratio at a glance.

From single-store cafés to 15-outlet retail chains, Rosterwave is quietly running under the counter across Australia.
Real quotes from real Aussie SMB owners. (Beta programme feedback · names abbreviated for privacy.)
Rosterwave started as a spreadsheet used to run a 3-store retail chain. When rosters, payroll, and P&L became too much for Excel, our team built the tool they wished existed.
Small businesses don't need enterprise software. They need the essentials done right, at a price they can afford, without a 3-month onboarding.
Compliance shouldn't be a gamble. Fair Work rules are complex — junior rates, weekend loading, casual conversion, AL loading. Getting one wrong is a real financial and legal risk. We bake the awards in so you don't have to interpret them.
Your data is yours. Hosted in Australia, exportable in full whenever you like. We never sell insights, never scrape your books, never take a cut of your payroll.
Business Analysis is the future. Rostering and payroll are commoditised. Real owner value lives in the P&L, the labour %, the trend line. That's where we're investing.
Sales, support, product feedback — all go to humans. Response usually within one business day.
Questions about plans, or moving across from another tool or a spreadsheet.
sales@rosterwave.comBug reports, feature requests, or "how do I …" — we answer as fast as we can.
support@rosterwave.comEvery byte of your roster, timesheet and payslip data sits on a server in Australia. We keep it small, we keep it simple, and we tell you exactly what happens to it.
Hosted in Australia. No third-party analytics pipeline.
Every request encrypted in transit via a valid TLS certificate, auto-renewed. No plain-HTTP fallback.
Automated encrypted backups on a scheduled cycle, retained on a rolling window. Restore on request.
Access is scoped at the record level, not the app level.
Staff never see other people's payroll or personal details. Location managers only see the stores they run. Admin/HR only where the org chart demands.
Once finalised, a payslip freezes the exact rate, hours and calculations at the moment of finalisation. Rate changes never rewrite history.
Nobody can approve their own leave request, sign off their own timesheet, or pay themselves. Enforced client and server side.
Every sensitive action (approve, finalise, un-finalise, delete, impersonate) recorded with who, when and from where. Available to admin/HR for compliance disputes.
The things attackers want most, we don't store.
You subscribe on Stripe's secure Checkout page, not ours. We never see, log, or store your card number. Stripe handles PCI DSS compliance.
PBKDF2-SHA256 with per-user salt. Even if the database leaked, no password is recoverable from it.
Login state lives in an HttpOnly cookie a JavaScript exploit cannot read. Expires automatically. Sensitive endpoints re-check on every request.
Passport, visa and ID uploads are stored securely and delivered with strict handling rules that prevent them from being executed or opened as active content in the browser.
If you leave, you take your data with you.
Every record — users, shifts, timesheets, payslips, invoices — is yours to download any time. No lock-in, no export fee.
Cancel and we hand back your complete data within 24 hours. Retained for 90 days after cancellation, then permanently deleted from primary storage and rolling backups.
No ad tech. No third-party trackers. No cross-tenant joins. Just the data required to run your team, on a server you can point to.
Export to your accounting stack today. A direct Xero Payroll connection is in final testing.

Everything an AU SMB owner needs to run a compliant, profitable workforce — free, no email required.

Read this carefully. Rosterwave calculates wages, penalties, junior rates, casual loadings, annual leave loading, and other payroll amounts based on Fair Work Modern Award data. These calculations are provided as a convenience tool — not as legal advice, industrial-relations advice, or a guarantee of Award compliance.
We ship pre-configured rate tables and calculation logic for 14 common Australian Modern Awards, including:
We compute weekend loading, public holiday loading, overtime brackets, junior rate percentages (age-based), casual loading (typically 25%), annual leave loading (17.5%), and ordinary-hours windows using the parameters stored in your Payroll Defaults settings.

As the employer, you are legally responsible for:
Fair Work updates Modern Award minima each year, typically effective 1 July. Rosterwave will attempt to update shipped rate tables within a reasonable time after publication. During any lag, or if you have overridden a rate in Settings, you must manually verify rates against the current Award text at fairwork.gov.au.
Junior rates are age-based percentages of the adult rate. Rosterwave applies the correct percentage based on the employee's profile.age value you enter. If age is wrong, blank, or the employee's birthday passes without you updating their record, junior rates may be incorrectly applied. You are responsible for accurate age data.

Summary: we run Rosterwave to be available around the clock and target 99.5% monthly availability for paid plans. This page explains how we operate the Service. It is not a service-credit scheme.
We target 99.5% availability of the core Service (login, dashboard, schedule, timesheet, kiosk, payroll) in each calendar month for Pro and Business workspaces. Starter is provided on a reasonable-effort basis. Targets are operational goals, not a warranty; the Terms of Service set out the extent of our liability.
Planned maintenance is scheduled outside Australian business hours where possible and announced at least 24 hours in advance by email to the Owner. Routine releases take a few seconds.
Data is backed up automatically on a scheduled cycle, with encrypted copies retained on a rolling window. Restore requests go to support@rosterwave.com.
We may update this page on 30 days' notice by email to the Owner.
The Starter plan is free. Nothing to refund.
Rosterwave subscriptions are billed monthly in advance. When you cancel, service continues until the end of the current billing period. Partial-month refunds are not generally provided because you retain full access until period end.
If you downgrade from a higher plan mid-cycle, the difference will be credited toward your next invoice, not refunded to your card.
If you upgrade to Pro or Business and are unsatisfied within 14 days of the upgrade, we will refund the most recent charge in full and downgrade you to Starter. Contact billing@rosterwave.com to request this.
No refund is due for periods when the account was locked due to non-payment.
Nothing in this policy limits your rights under Schedule 2 of the Competition and Consumer Act 2010 (Australian Consumer Law). If our Service:
you are entitled to a remedy including refund, cancellation, or compensation for reasonably foreseeable loss.
If you dispute a charge with your card issuer without first contacting us, we may suspend your account pending resolution. We prefer to resolve disputes directly first — email billing@rosterwave.com before opening a chargeback.
